Record Retention Clerk
Responsible for performing specialized clerical duties such as record-keeping and managing forms and information. Responds to queries by retrieving information in file systems. The Records Retention Clerk supports the corporate records program by assisting with the maintenance, safekeeping and lifecycle management of official records for the credit union, ensuring corporate records are retained and disposed of in accordance with all applicable bylaws and regulatory requirements. The Records Management Clerk assists with administering, coordinating, implementing and maintaining the records management system for paper and electronic records, developing and establishing departmental and organizational records management policies and procedures and working through historical records to ensure proper retention.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Perform data entry.
· Add new files to archives.
· Modify or purge entries.
· Destroy files.
· Create new folders and files.
· Check to ensure files are complete.
· Work with electronic storage media
· Use scanners to convert forms, receipts, and reports into electronic format.
· Store and extract file information from computers.
· Uploads digital files and data.
· Organizes and archives records and documents.
· Retrieves data and files for other departments and personnel.
· Uses alphabetical and numerical systems to organize paper and electronic records documents.
· Checks paperwork, digital forms, and files, updating or correcting documentation as needed.
· Updates filing systems and devises new filing and organizational and storage systems for data and documents
· Creates new files and provides needed information on forms and reports.
· Secures and protects the privacy of documents.
· Scans paper documents and verifies that scanned documents are clear and legible.
· Processes requests for files and data.
· Discards documents when required in accordance with official procedures.
· Operates office equipment.
· Looks for ways to improve filing systems and designs forms and templates for data entry.
· Performs data entry.
· Works with vendors to assure safe archiving of documents.
· Checks and corrects documentation and placement of previously filed documents
· Completes special projects as assigned.
· Projects a professional image in dress, demeanor, and communication
EDUCATION and/or EXPERIENCE
· High school diploma/GED.
· Excellent communication skills, both written and verbal.
· Good listening and interpersonal skills.
· Strong attention to detail.
· Computer literate.
LANGUAGE ABILITY
· Ability to read and interpret documents such as regulatory rules, trade literature, and procedure manuals.
COMPUTER SKILLS
· To perform this job successfully, an individual should have proficiency using data processing software as well as Microsoft Office products, especially Outlook, Word, and Excel.

PURPOSE OF POSITION
To assure that every member and internal customer receive “Raving Fans” service on a consistent basis. Plan and implement the credit union’s education and training programs that reflect the strategic plan of the credit union. Ensure that ongoing development of all employees reflects strategic priorities and quality service to members. Support the community education initiatives of the credit union. Compile and maintain assistive documentation for use by staff including procedures and processes; policies and regulatory compliance; and benchmarks for service delivery.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Assess the credit union’s training needs with input from managers, member satisfaction surveys, employee assessment surveys, and other appropriate sources.
2. Administer the credit union’s training programs by creating and/or coordinating presentations and presenting programs.
3. Create training activities for interactive participation.
4. Evaluate training materials and methods.
5. Conduct and/or coordinate seminars and workshops for new products, policies, and procedures for all staff.
6. Conduct and/or coordinate new hire orientation and training sessions for new employees of the credit union.
7. Create and conduct or coordinate training for the established career path at the credit union.
8. Conduct and/or coordinate training classes for management trainees.
9. Assist department managers with employee development and training.
10. Prepare or coordinate development of procedural tools used in conjunction with training needs.
11. Develop and maintain a centralized documentation (intranet or shared drive) source with standardized processes, procedures, policies, and resource materials.
12. Coordinate all-staff training days.
13. Investigate and research available training methods and procedures to determine new or improved training methods as well as new and improved content materials.
14. Evaluate outsourced programs and/or vendors to augment training internally. Coordinate and utilize external training programs and products that enhance the credit union’s training program.
15. Act as a liaison for the Education Committee and the Standards Committee.
16. Attend seminars and meetings to learn new training methods and techniques and use the knowledge to prepare and coordinate future training sessions.
17. Inform employees on scheduled training and track their progress.
18. Recommend training materials and methods, order and maintain in-house training equipment and facilities.
19. Periodic travel between branches of the credit union will be required.
LOCATION
Marshalltown, IA. This is an in-person position.
PREFERRED QUALIFICATIONS
· Bachelors degree or at least 5 years of related experience in training and development.
· Customer service experience is preferred.
· Previous accounting experience is beneficial.
· Excellent communication skills, both written and verbal.
· Good listening and interpersonal skills.
· Strong attention to detail.
· Ability to read and interpret documents such as regulatory rules, trade literature, and procedure manuals. Ability to write reports and correspondence with a high degree of precision and literary intelligence.
· Ability to speak effectively before groups of members or employees of the organization or before the Board of Directors.
